Information about your health can receive additional protection under data-protection law.

Where you voluntarily provide health information and we rely on your explicit consent to process it, we will ask for that consent separately.

You do not need to provide unnecessary medical history.

Please only tell us information that is relevant to participating safely.

You can withdraw consent for future processing where consent is our basis, although this does not affect processing already carried out lawfully.

6. Emergency Contacts

If you give us another person's details as your emergency contact, please let them know that you have provided their information to Omnipotence Mind Club for emergency-contact purposes.

We will only use those details for appropriate club administration or emergency purposes.

7. Photos & Videos

Your choice regarding identifiable promotional photographs and video is separate from your participation.

You may choose:

YES — I give permission.

or

NO — please do not intentionally use identifiable promotional images of me.

Where we rely on consent, you may withdraw that consent for future use by contacting us.

We may not always be able to remove material that has already been lawfully published, distributed or incorporated into existing materials before your withdrawal request.

8. Marketing

Marketing consent is optional.

Where consent is required, we will not use a pre-ticked box.

You can unsubscribe from marketing communications at any time.

Choosing not to receive marketing does not affect your ability to participate in Omnipotence Mind Club.

9. Who We May Share Information With

Where necessary, information may be processed by trusted service providers that help us operate the club, such as:

  • Jotform or another form provider

  • Email or communications providers

  • Website providers

  • Secure cloud-storage providers

  • Event-management services

We may also share relevant information with emergency services, insurers, professional advisers or authorities where reasonably necessary or legally required.

We do not sell participant personal information.

10. International Processing

Some technology providers may process information outside the UK.

Where this happens, we will take reasonable steps to ensure appropriate data-protection safeguards are used where required.

11. How Long We Keep Information

We do not intend to keep personal information indefinitely.

Different information may be kept for different periods depending on why we need it.

For example:

  • Active participation information may be retained while you remain involved with the club.

  • Waiver, accident or incident records may be kept for an appropriate period where necessary for safety, insurance or potential legal claims.

  • Health information will be reviewed and removed when it is no longer reasonably needed for the purpose for which it was provided.

  • Marketing information will be used until you unsubscribe or we otherwise determine it is no longer required.

  • Records necessary to show that you opted out may be retained to ensure your preference continues to be respected.

We regularly consider whether information remains necessary and delete or anonymise information when appropriate.
